We are hiring an Executive Assistant in Davidson, NC! The Executive Assistant will provide daily executive administrative support to our Vice Presidents of Corporate Strategy and Development. Where is the work:

This position has been designated as a Hybrid work schedule with work performed onsite 3 days each week. 

What you will do: 

  • Utilize Outlook for daily team communication, correspondence, and calendar management
  • Manage complex and constantly changing VP’s daily calendars (4) by organizing and arranging meetings and schedules, at times coordinating across multiple time zones
  • Arrange and coordinate complex domestic and international travel (via Concur)
  • Take charge of meeting preparation and organization including invitation, agenda, presentation, meeting minutes, all relevant logistics, food/beverage
  • Prepare monthly detailed expense reports and accurately reconcile corporate credit card bills
  • Maintain and distribute email distribution lists and other standard tools/resources
  • Utilize Oracle/Coupa to invoice, set up new suppliers, prepare purchase requisitions, purchase orders, receive on purchase orders and submit for payment
  • Create and edit documents using Microsoft Office programs
  • Assist in employee birthday, anniversary and special recognition
  • Manage SharePoint site including access, updating files and regular maintenance
  • Provide necessary support to executive leaders like travel support, visa prepare, IT issues, etc.
  • Consolidates reference information by collecting, organizing, and assembling data for reports, presentations, and/or special projects
  • Complete various tasks assigned by leaders and some routine tasks from team members
  • Maintains office supplies

What you will bring:

  • Minimum 5 years of experience as an Administrative Assistant supporting executives
  • Experience supporting leaders in a global environment
  • Detail-oriented with ability to manage multiple assignments simultaneously and have strong organizational skills
  • Ability to effectively communicate, both written and verbal, to all levels of the organization
  • Excellent Outlook, Word, Excel (pivot, V-lookup), and PowerPoint skills
  • Ability to work in a fast-paced environment while adapting to changing deadlines and priorities
  • Must be able to work independently with minimum supervision and guidance, prioritize work and handle simultaneous assignments with success and accuracy
  • Must be flexible/adaptable. Willing to work extended hours when necessary, such as arriving early, adjusting lunch hour, or staying later in the evening depending on various activities/deadlines
  • Ability to handle confidential information with discretion and integrity
