The role of the Service Coordinator is diverse and involves both internal and external tasks. Internally, the Service Coordinator ensures quick and standardized administrative processing of workorders. He also provides support for operational workshop tasks and ensures optimal communication between the workshops and other departments. Externally, the Service Coordinator contributes to optimizing customer satisfaction and service excellence.
The required place of living is Heerenveen, Oldenzaal or Apeldoorn locations. He/ she will be required to travel each location every 2-3 days, depending on the needs.
Responsibilities:
- Ensure timely and qualitatively correct processing of workshop orders and invoices from foreign dealers. Enter data into external stakeholders' information systems if necessary
- Support the workshop in handling questions, complaints, etc., from internal and external customers
- Support the workshop in making workshop schedules and service and repair appointments
- Support the workshop in integrating digital information in daily work (24/7 monitoring)
- Support the workshop in creating quotes and work orders
- Support the workshop in ordering (local) parts and materials
- Assist the workshop in drafting contracts (proposals) and contract extensions
- Support the workshop with other operational tasks
- Support and take over tasks from other Service Coordinators in their absence
- Participate in projects, initiated by the service excellence department
- Perform other tasks assigned by the supervisor

- The role focuses on administrative, financial, managerial, and organizational aspects in the field of service and new construction at both national and international levels
- Regularly switch to other quality aspects and behaviors
- Extra concentration is required for all aspects
- The employee must be able to adapt flexibly to the organization and customers
- A high degree of diplomacy and persuasiveness is expected from the employee
Independence:
- Consulting with the supervisor is possible and regularly required
- Responds immediately to arising situations and product flows within tight schedules
- Allocates remaining time based on set priorities
- Determines the approach to tasks and follows known procedures
- Regularly needs to foresee consequences, make connections, and weigh interests
- Experience, consultation, own initiative, and intuition may be required
- Problems are of a practical and/or financial nature, and the solution aligns with the education level and experience
- Consults with customers, management, direct colleagues, workshops, financial administration, sales team, and warehouse. These contacts aim to consult, advise, instruct, and possibly persuade and are crucial for the required information flow and optimal production or execution
Knowledge and Experience:
- Minimum MBO level
- Strong administration skills
- Experience in back office environment, for example in automotive industry
- Strong communication and cooperation skills
- Pro-active and hands-on mentality
- Diplomatic and persuasive
- Fluent in Dutch and English (both spoken and written)
- Good knowledge of Microsoft Office and (preferably) Navision
Risk of Errors:
- Carelessness in planning, calculation, preparation, etc., can lead to significant delays in project realization and substantial financial damage
- Direct supervision by the manager is not always possible
- Incorrect or untimely provided information can have consequences for policy implementation
Physical Aspects:
- Works under normal office conditions
- 100% of working hours are spent at the workshop location. If there are multiple workshops, the workweek is divided among the workshops
